Job Description:
This unique opportunity is part of the National Security Program Office (NSPO), which manages JPL's national security work portfolio and its responsibility for JPL's classified work.

As a Staff Assistant III, you will be working for JPL's National Security Program Office, which provides leadership and unique world-class expertise in a wide range of technologies and technical discipline areas, common processes adoption, security (clearance, staffing, facilities, IT, escorting). The successful applicant will support JPL's vision to apply leadership capabilities in space exploration, space utilization, and space communications in areas of national interest. And become a trusted partner for the National Security space community.
Specific tasks may include, but are not limited to:
•Providing administrative support to multiple technical professionals and management.
•Processing travel request and reports for domestic, foreign travel including forecasting for conferences.
•Process acquisitions (I-procurement, PCard, Oracle Requisitions)
•On boarding of affiliates; submitting visitor requests and escorting of visitors.
•Scheduling of meetings, events, and/or reviews.
•Maintaining Docushare Library.
•Managing and maintaining multiple complex calendars.
•Compose and edit correspondence and presentation materials, including proofreading and editing.
•Taking minutes and distributing when required.
•Serve as backup to other staff while absent.
•Ad Hoc jobs and varied duties assigned.
•Serve as Timekeeping Subject Matter Expert (SME) and backup for Staff assistants, and Labor transfers.
•Maintain and monitor NSPO's office supplies
•Maintain multiple directories within the department


Required Skills:
•Must be a US Citizen or Green Card Holder
•Offer contingent on ability to successfully pass a background check and drug screen
•Solid understanding of general job aspects specifically in the secretarial/administrative support profession with strong organizational and interpersonal skills.
•Thorough understanding of office procedures and proficiency in office automation applications; MS Office, Word Excel, Power Point, Adobe Acrobat.
•Ability to balance competing priorities, work effectively under pressure and prioritize work in a multiple task environment.
•Willingness to learn new technologies and tools to enhance and/or improve office procedures and processes as needed.
•Ability to provide excellent customer service, team skills and professionalism in interfacing with all levels of personnel within and across multiple
organizations.
•Highly organized with excellent planning and scheduling skills, typing, spelling, grammar, written and oral communication skills.
•Pro-active self-starter who takes the initiative to preform activities and recognize and resolve unusual nonstandard problems.
•Ability to evaluate situations and apply good judgement in any necessary resolution.
•Proven success in the administrative support profession with the ability to maintain patience and composure in a dynamic work environment that
includes interruptions and changing priorities.
•Demonstrated ability to successfully handle discreet information.

Desired Skills:
•Knowledge of JPL’s policies, procedures, and practices.
•Subject Matter Expert (SME) in Timekeeping, Travel systems, including domestic and foreign travel policies, procedures and requirements.
•Administrative experience in a technical group or section office environment.
•Experience coordinating workshops, seminars, and social events.
