Job Description:
As the Staff Assistant, you will be working for JPL's Technology Demonstrations Program Office.
•Provide secretarial support to the Technology Demonstrations Office management and their team members. 
•Coordinate and maintain busy and dynamic calendars, prepare travel, assist in composing and editing correspondence, presentation materials, and communication products for internal and external efforts. 
•Document and track action items; screen and direct incoming phone calls, coordinate conference room scheduling, and look for innovative ways to improve processes relating to office practices. 
•Interface routinely with JPL and Department of Defense sponsor senior management. 
•Assist the Business Administration staff with a number of daily administrative duties, such as performing subject matter duties for timekeeping and travel policies and procedures, track and maintain iProcurement and office supply inventory; update employee information on Property Management Gateway; maintain organization's charts and telephone lists.
This position requires working with classified materials and thus requires close coordination with the security staff on proper procedures in handling such materials. This position is performed wholly in a classified environment.

Required Skills:
• Must possess an active Top Secret clearance (based on a Single Scope Background Investigation (SSBI) within the last 5 years) and approved for Sensitive Compartmented Information (SCI) access. 
•Typically requires a High School diploma with 8 years of related experience; Associates with 4 years of related experience; Bachelors with 1 year of related experience; or related required training. 
•Advanced understanding of both general and detailed aspects of job and work techniques in the secretarial area; as well as practical applications to problems and situations ordinarily encountered. 
•Advanced understanding of office procedures and proficiency in office applications: MS Office, Word, Excel, Power Point, Adobe Acrobat, Outlook, Jabber. 
•Ability to balance competing priorities, work effectively under pressure and prioritize work in a multiple task environment that includes interruptions and changing priorities. 
•Willingness to learn new technologies and tools to enhance and/or improve office procedures and processes as needed. •Organized with planning and scheduling skills, typing, spelling, grammar, written and oral communication skills. 
•Demonstrated problem solving and planning skills focused on the ability to plan, prioritize and execute. 
•Proactive self-starter who takes the initiative to perform activities, and recognize and resolve unusual or nonstandard problems. •Must exercise proper discretion when handling assignments of a discreet nature and when dealing with sensitive material •Experience working in an environment that interacts with all levels of personnel. 
•Proven ability to provide excellent customer service to a diverse team. 
•Serve as the back-up to other Staff Assistants. 
•Work effectively as a member of teams. 
•Experience working in a SharePoint web application platform. 
•Self-motivated individual who takes the initiative to solve problems reliably and independently. 

Desired Skills:
•Thorough knowledge of JPL’s practices and policies, experience in making travel arrangements, managing complex calendars and schedules for senior management.  
•Experience using JPL-based tools such as Kronos Timekeeping, Concur, P-card, and Service Order Requests. 
•Ability to interact with diverse personnel at all levels, including executives, dignitaries, and VIPs 
•Willingness to identify, learn, and apply new Information Technologies to improve office operations. 
•Ability to process JPL-ID such as on-boarding and off-boarding.
